What is the team management feature?
The team management feature allows you to invite others to work on the same account, making collaboration easier and more efficient. With this feature, your team can share responsibilities such as managing links, creating campaigns, and more.
Each teammate gets their own login (a personal account) and joins your shared team workspace. You stay in full control: decide exactly what each member can see and do, and — if you like — limit a member to only specific branded domains so they see just their slice of the account.
How do I add a team member?
-
Navigate to the team section:
- Go to the “Team” option in your Linko dashboard.
-
Enter the member’s email:
- Input the email address of the person you want to invite.
-
Assign permissions:
- Choose what the new member can view, create, edit, and delete for each section.
-
(Optional) Restrict to domain(s):
- Limit the member to one or more of your branded domains. They’ll only see and manage assets on the domain(s) you assign. Leave this empty to give access across all domains.
-
Send invitation:
- Click “Send Invite,” and the person will receive an email to join the team.
What are Permissions?
Permissions define what your team members can do, section by section (Links, QR Codes, Bio Pages, Files, Campaigns, Channels, Domains, Pixels, CTA Overlays, Templates, and more). For each section you can grant any combination of:
-
View: Controls whether the member can even open and see a section. Without View, that section stays hidden from them. Grant View on its own to give read-only access.
-
Create: Allows team members to shorten links, generate QR codes, create Bio Pages, custom splash pages, CTA overlays, manage campaigns, and export data.
-
Edit: Allows members to edit existing links, QR codes, Bio Pages, custom splash pages, and campaigns.
-
Delete: Grants the ability to delete links, QR codes, Bio pages, CTA overlays, and campaigns.
You can also control access to read-only areas like Statistics, Billing, Affiliate, Settings, Security, and API Keys, and to actions such as Broken Links (run a check), Trash (restore / permanently delete), and Integrations (connect apps).
Tip: Use the per-category toggles or the Select / Deselect All button to set up a member’s permissions in seconds.
Note: Team members will only have access to the tasks you authorize them to handle. This ensures proper control and security over your account’s data and functionality.
Can I limit a teammate to specific domains?
Yes. When inviting (or editing) a member, use Restrict to domain(s) to assign them one or more of your branded domains. A domain-restricted member will only ever see and manage the links, QR codes, bio pages, files, statistics, and broken links that belong to their assigned domain(s) — everything on your other domains stays hidden.
This is ideal for giving a client or contractor access to just their part of your account. When a member is restricted, a “Viewing: yourdomain.com” badge appears in the top bar so the active scope is always clear.
FAQs
I added a teammate, but they cannot create or see my short links, bio pages, and QR codes. Why?
There are two things to check:
1. They need to switch to your team workspace. Linko’s team member system uses a team workspace model. Each teammate has their own personal (individual) account and can belong to your team. To access team assets, your teammate must switch from their individual workspace to the team workspace.
Instruct them to change their workspace view from their personal dashboard to the team workspace using the workspace switcher in the top bar.
2. They need the right permissions. Each section now has a View permission. If a teammate can’t see Links, QR codes, or Bio pages, make sure you’ve granted View (and any Create/Edit/Delete they need) for those sections. If you restricted them to specific domains, they’ll only see assets on those domains.
Teammates can also be part of multiple team accounts on Linko, working across different teams while keeping their personal account for individual use.
Can I change my teammate’s permissions after adding them?
Yes, you can update and modify your teammates’ permissions at any time after adding them.
- Go to the team section,
- Locate your teammate and click on the three dots.
- Then, click on the edit button.
Can I view my teammate’s permissions?
Yes, you can easily check the permissions of your teammates.
- Navigate to the team section.
- Find the teammate and click on the three dots.
- Select permission to view their access details.
Can I remove or delete a team member?
Yes, you can remove a team member from your account at any time.
- Go to the team section.
- Locate the teammate and click on the three dots.
- Click on remove to delete them from your team.
Can I disable a teammate’s access to my account?
Yes, you can disable a teammate’s access, preventing them from reaching the team workspace.
- Open the team section.
- Locate the teammate and select the disable button.
Can my teammate see all of my assets (short links, bio pages, and QR codes)?
It depends on the access you give them:
- Permissions: A member only sees a section if you’ve granted them View for it. Their ability to create, edit, or delete depends on the other permissions you assign.
- Domain restriction: If you’ve limited a member to specific domains, they’ll only see the assets on those domains — not the rest of your account.
If you grant full View access and don’t restrict their domains, they can see all of the team’s assets.
If I have multiple teammates, can they see each other’s email or created assets?
Email: No. Teammates cannot see each other’s email or who else is on the team.
Assets: Shared team assets are visible to everyone (within any domain limits you set), but teammates do not see who created a specific short link, QR code, or bio page. A few asset types follow a “shared + your own” rule: for campaigns, channels, pixels, CTA overlays, and UTM/QR/bio templates, each teammate sees the ones you (the owner) created plus the ones they created themselves — they don’t see another teammate’s private items. Members can still create, edit, or delete based on the permissions you granted.
Does Linko provide a workspaces feature?
Yes. Linko uses a team workspace model. Every member has their own personal workspace and can switch into any team workspace they’ve been invited to, using the workspace switcher in the top bar. This lets people keep their individual account while collaborating in one or more shared team workspaces — with the owner controlling permissions and domain access for each member.
Can my teammate see my billing and profile settings?
By default, no. Access to Billing, Settings, Security, and API Keys is permission-controlled — teammates can’t view these areas unless you explicitly grant the matching View permission. Leave those permissions off to keep your billing and account settings private.
Is the team member feature available on the free plan?
No, the team system is a premium feature and is only available on the paid plans.
